Email and Calendar Delegated Access Guidelines

These Guidelines are intended to provide guidance and details to implement and supplement the Electronic Communications Policy and are meant to remind employees of the best practices related to delegating access to their email and calendar

Delegator

  • Delegation is only to be used in situations where an assistant or coworker needs access to a mailbox or calendar to perform activities that are limited to the delegate’s job responsibilities.
  • When delegating access to your email or calendar, limit the number of delegates (preferably 1) who can change your calendar or send emails on your behalf.
  • The delegator is responsible for disabling or removing the delegate’s access.
  • User must regularly review their list of delegates and remove any delegee who is no longer with the organization
  • Never delegate access to a party outside your organization.

Delegate

  • Refrain from sending emails to a 3rd party when the email requires personal attention of the delegator. Receiver will know if the email is sent by the delegee.
  • The delegate must respect the confidentiality of the delegator and must not view personal data.
  • Delegee must not forward emails to other parties without prior permission from the delegator
  • Do not delete emails without prior permission from the delegator.
  • Take necessary precautions to ensure other parties cannot view or send emails/calendar invites to or from the delegator.
